This Privacy Policy (“Policy”) explains how FTV Labs Pte Ltd (“Kegmil,” “we,” “us,” “our”) collects, uses, discloses, and protects your personal data in connection with your use of our cloud hosted Field Service Management (“Platform”) web and mobile applications and related services (collectively, the “Services”).

Personal Data” refers to any information about an individual who can be identified from that data in connection with the Services, as defined under Singapore’s Personal Data Protection Act (PDPA).

 

How we collect your Personal Data

1. We may collect Personal Data of individuals associated with your organisation for one or more of the following purposes:

  • To create and manage user accounts on our Platform
  • To provide technical support, onboarding, and training services
  • To communicate with you regarding Platform usage, updates, or service-related matters
  • To respond to enquiries, feedback, or service issues
  • To facilitate payment processing, billing, and account administration
  • For other purposes reasonably related to the above or for which you have given consent
 

How we use your Personal Data

2. We may use Personal Data of individuals associated with your organisation for one or more of the following purposes:

  • To establish or verify the identity, authority, and contact details of individuals for onboarding or account management purposes
  • To process applications, manage accounts, and deliver products or services as requested by you, including services provided by third parties integrated into our platform
  • To address any inquiries, feedback, support requests, or disputes, and to monitor service levels
  • To comply with applicable laws, regulations, codes of practice, or legal processes, including requests from public and regulatory authorities
  • To implement internal policies and procedures, risk assessments, audits, and compliance measures
  • To send you and your authorised users updates, promotions, and other marketing materials related to our services or third-party offerings (where permitted by law and with consent, where required)
  • To conduct research, data analysis, surveys, or service usage analysis to enhance and improve our platform, products, or services
  • To plan routes and enable real-time dispatch of technicians
  • To track the location of assets and field technicians during service jobs
  • To confirm job start and end times using geofencing
  • For any other purpose reasonably related to the above, or for any additional purpose notified to you or consented to by you from time to time
 

Location Data

3. Our app collects location data only while it is actively being used or running in the background, and only if location permissions have been granted by the user. This collection is essential for enabling key field service features, such as validating technician time entries, confirming job start and end times within designated work zones, and ensuring accurate service logging.

We do not use location data for advertising, marketing, or any unrelated purposes.

Specifically:

  • Location data is collected only when the app is open or running in the background, and location permissions have been granted
  • The data is used solely to validate time entries and ensure job activities occur at authorised locations
  • The data is not shared with third parties, except where necessary to provide our services or comply with legal obligations
  • Users can disable location access at any time through their device settings. However, disabling may limit core functionalities like time tracking and job validation

 

4. Consent & User Controls:

  • Before collecting any location data, we display an in-app prompt explaining that location will be used only for the purposes described above.
  • Granularity Control: Users can choose between “Precise” and “Approximate” location access in app settings. By default, precise tracking is off.
  • Opt-Out: Users can disable location collection at any time in the app settings. Disabling location may affect certain service features.


How we share your Personal Data

5. We may share Personal Data of individuals associated with your organisation for one or more of the following purposes:

  • With trusted third-party service providers (e.g. cloud hosting, analytics, customer support tools) who help us operate, maintain, or improve our Platform, under strict confidentiality agreements
  • With affiliated companies or entities within the Kegmil group as needed for support, troubleshooting, service delivery, or to fulfil contractual obligations
  • With government authorities, regulators, statutory boards, or law enforcement agencies where required to comply with legal obligations or official directives
  • With any party you have authorised us to disclose your Personal Data to
 

How you can access and make correction to your Personal Data

6. You may write to us to request access to the Personal Data we hold about you, or to ask for corrections if you believe the data is inaccurate or incomplete. We may require verification of your identity before processing your request. We will respond as soon as reasonably possible, typically within three (3) working days, with full processing completed within thirty (30) days. If we are unable to fulfil your request, we will inform you of the reason unless exempted under the Personal Data Protection Act (PDPA).

 

How you can withdraw consent for the collection, use and/or disclosure of your Personal Data

7. You may withdraw your consent for the collection, use, or disclosure of your personal data at any time by submitting a written request to us. Upon receiving your request, we may require reasonable time to process it and will inform you of any potential consequences, such as our inability to continue providing certain services or fulfilling contractual obligations. We generally respond within three (3) working days and complete processing within thirty (30) days. Please note that withdrawing consent does not affect our right to collect, use, or disclose your personal data where required or permitted by applicable laws.

 

How we ensure the accuracy your Personal Data

8. We take reasonable steps, including verification checks and validation where appropriate, to ensure that the personal data we collect is accurate, complete, and up to date, taking into account its intended use. If we have an ongoing relationship with you, we kindly ask that you inform us of any changes to your personal or business contact information to help us maintain data accuracy.

 

Use of Cookies and similar technologies

9. We use cookies and similar technologies on our Platform to enhance user experience, analyse site usage, support security, and deliver relevant content. Cookies are small text files stored on your device that help us recognize your browser, remember your preferences, and understand how visitors interact with our site. These may include session cookies (which expire when your browser closes), persistent cookies, first-party cookies (set by our site), and third-party cookies (set by external service providers). We may also use web beacons, pixel tags, and other technologies for analytics and to improve performance. You can control cookie settings through your browser preferences. However, disabling cookies may affect the functionality or availability of certain features on our Platform.

 

Data Retention

10. We retain Personal Data for as long as necessary to fulfill the purpose for which it was collected, including the provision of services, compliance with legal obligations, dispute resolution, and enforcement of agreements. Where we process data on behalf of our customers, they are responsible for determining appropriate retention periods in line with their internal policies and applicable laws. Upon termination of an account, data will be removed from active systems after thirty (30) days, with prior notice given. Final backup deletion will occur seven (7) days after that, unless otherwise agreed.
